SPECIFICATIONS AND CONDITIONS
for Entering your Quilt or Quilted Items into the Exhibition
Although this is not a judged quilt exhibition, all Quilts/Items are juried and must comply with the following specifications.
- All Quilt entries must be made predominantly from cloth, consisting of at least three (3) layers and be quilted through all layers (except for coverlets or otherwise specified).
- You may also enter Quilted Items like clothing, bags, books and other items.
- All quilts entered must be quilted by hand, machine, or both, except for Mola, Yo-yo’s and Cathedral Window.
- All entries must be in a pristine condition ready for the exhibition.
- Size: No side longer than 240cm and wider than 240cm.
- Maximum number of entries: a total number of six (6) quilts/quilted items entries per person. [Excludes The Beehive Project, see 10.]
- Restrictions for entering:
- No quilt/quilted item that is older than 3 years after completion may be entered.
- Quilts with heavy embellishments, rigid frames, special mountings or installations are not allowed. For safety reasons, quilts with electrical components or special lighting are not allowed.
- Hanging Sleeve: As quilts will be hung with bulldog clips, or pinned to the exhibition stands, hanging sleeves are optional.
- Clothing items must be supplied with matching coat hanger.
- The Beehive Project: We’re inviting all quilters, crafters, and artists to design a 4½” hexagon (flat side at the top) and decorate it in any way you like. Your hexagon will be part of a massive art installation, celebrating the beauty of the West Coast Biome, from flowers and birds to fossils and insects. Entry is free and with no restriction on the number of entries. (Detailed information available here.)
- Label: All quilts and items must have a cloth label securely sewn to the quilt/item. The label must include, in this order: Maker(s) name(s), Quilt Title, Date (or Year) the quilt/item was made and the unique quilt entry number to be sent after entering. Labels must be on the back of the quilt in the bottom left corner as you look at the back.
- A separate Entry Form must be completed in full for each Quilt/Item entered. (Unless if only entering Hexagons for the Beehive Project)
- Credits: All design and inspiration credits must be declared.
- A copy of the completed Entry Form, Credits to the designer and design source/inspiration, and photocopies of the original design or permissions from designers must be placed in a clear plastic sleeve and pinned to the back of the quilt before quilt delivery.
- Rights: The Festival Organizers reserve the right to reject any quilt that they feel is inappropriate or offensive.
- Photography: The Festival Organizers reserve the right to photograph any work and to use images for promotion and publicity purposes and will acknowledge the quiltmaker/s.
- Permission: By entering, the entrants are giving permission to the Organizers and viewing public to take photographs of their quilt/quilted item(s) knowing that these images may appear on social media platforms.
- Risk: Although the greatest care will be taken with all entries, the quilts are entered and exhibited entirely at the risk of the owner/ entrant/s. Entrants have the responsibility to arrange their own insurance.
- Entry and delivery dates: All quilt entries must adhere to the entry and delivery dates and deadlines.
- Entered and paid by midnight 22 AUGUST 2025
- Delivered by midnight 19 SEPTEMBER 2025
- Quilts for sale:
- All Quilt/Item sales will be facilitated by Ronel Pistorius.
- You will be notified if someone is interested in buying your Quilt/Item. All further arrangements (payment and collection) will be between you and the buyer.
- GHQG will not be held responsible for any losses suffered as a result of the selling of work.
- The Quilt/Item will remain on display until the exhibition closes on Saturday 11 October 2025.
Quilt Entry
- Entry fee is R100 per entry. (The Beehive Project hexagons entries are free.)
- Quilt/Item entry fee/s are non-refundable.
- The quilter is liable for all postage/shipping/couriering costs or other expenses and insurance pertaining to their quilt entry/s. Postage/shipping/couriering must be arranged with Dewald.
- Quilt entries will be submitted online.
- Please submit the following to Dewald via WhatsApp (074 935 3007) or email before the closing date for entries, 22 AUGUST 2025:
- a clear picture of your completed project
- a completed copy of the entry form (if not done online)
- proof of payment
- Confirmation of entry will be send once all the entry requirements are met, with a unique Quilt/quilted item number.
Delivery of Quilts/Quilted Items
- “Busy bee delivery” of completed Quilts/quilted Items at the GHQG quarterly meeting on 9 August 2025 at Edgemead Community Hall , 09h30 – 12h00.
- Courier/PostNet/Pudo deliveries of quilts to be arranged with Dewald, to be received no later than 19 SEPTEMBER 2025.
- Remember: A copy of the completed Entry Form, Credits to the designer and design source/inspiration, and photocopies of the original design or permissions from designers must be placed in a clear plastic sleeve and pinned to the back of the quilt before a quilt is handed in.
- All quilts must be delivered sealed in a clear recyclable plastic bag or fabric bag, with the quilter’s name and unique quilt number clearly indicated on the outside of the bag.
- Local drop off points: Arrangements can be made to drop off your finished quilts/items to one of the following designated quilt receivers by 19 SEPTEMBER 2025:

Collection of Quilts/Quilted Items
- Quilts/Items must be collected from the exhibition hall on Saturday 11 OCTOBER 2025 at 17h30 or on Sunday 12 OCTOBER 2025 between 08h00 – 12h00.
- If someone other than yourself will collect the entry/s, arrangements must be made in writing with Dewald before the time.
- If you require your entry/s to be returned via PostNet/courier/Pudo, you will be responsible for the entire cost. Arrangements to be made before the time.
IMPORTANT DATES FOR EXHIBITION:
22 AUGUST 2025: Deadline for entry forms to be completed and received and entry fee to be paid.
19 SEPTEMBER 2025: Final day of receiving completed Quilts/Items for exhibition.
8 – 11 OCTOBER 2025: Quilt Exhibition at Sports Hall in Hopefield.
11 OCTOBER 2025: Collection of quilts at exhibition hall at 17h30
12 OCTOBER 2025: Collection of quilts at exhibition hall between 08h00 – 10h00.
